A Clear RFQ for CNC Spare Parts

CNC spare parts are replacement components requested for maintenance, repair or continued use of an assembly. A replacement should be defined by approved part data and fit requirements, not by appearance alone. If the original design is obsolete or incomplete, resolve design authority before machining a substitute.

Gather the information available

Provide the original part number, drawing revision, model and material specification when available. State the equipment or assembly interface only as needed to explain fit and function, and identify the person authorized to approve the replacement definition.

Clarify gaps in legacy data

If a drawing is unavailable, list the information that is missing and agree on how the part will be defined before quoting. Use of a sample or reverse-engineered geometry may require permission from the design owner and engineering review. Do not assume a visually similar part is interchangeable.

Protect critical interfaces

Identify mating faces, mounting features, threads, bores and other dimensions that affect installation. Specify material and finish requirements from the approved design or application owner. Any proposed change should be documented and approved before the order.

Set replacement acceptance checks

State how fit-critical characteristics will be verified and what records are needed. If the replacement serves a safety-related or regulated application, the responsible organization should define additional review and traceability requirements.

Confirm before purchase

Keep the approved replacement definition, revision, quantity, material, fit requirements and inspection plan with the quote and purchase order. This creates a traceable basis for repeat spares without claiming compatibility that has not been checked.
